This policy explains how we process personal information under the Protection of Personal Information Act 4 of 2013 (POPIA).
What we collect
When you use our contact form we collect your name, email address, optional phone number, and message content. We also store your cookie consent choice locally in your browser (see the cookie notice). We do not run analytics, advertising pixels, or third-party tracking on this website.
Purposes and lawful bases
We process inquiry data to respond to your request, prepare proposals, and perform pre-contract steps at your initiative (POPIA section 11(1)(b) — processing necessary to respond to your request). Consent preferences are stored to honour your choice about non-essential storage.
Retention
Inquiry records are kept for up to twenty-four months after our last meaningful correspondence unless a longer period is required for contractual or legal purposes. You may ask us to delete outdated records earlier where POPIA allows.
Your rights
You may request access to, correction of, or deletion of personal information we hold about you, and object to processing where POPIA sections 11–14 and 23–25 apply. Submit requests to the Information Officer using the contact details above. We will respond within a reasonable period prescribed by POPIA.
Security and sharing
Data submitted through /api/inquiry is handled on infrastructure controlled for VectorFrame Consulting and is not sold. We use service providers only where necessary to operate email or hosting, under confidentiality terms.
Cross-border transfers
If hosting or mail routing involves servers outside South Africa, we ensure appropriate safeguards consistent with POPIA section 72 before transfer.
Changes
We may update this policy when our processing changes. The review date is noted in our internal records; material changes will be reflected on this page.
